Choose How Items Are Grouped When Creating Purchase Orders

Consolidate blank goods across Jobs so a Vendor's Purchase Order lists each product once, or keep items grouped by Job, when you create a Purchase Order from the Purchasing Queue.

If you buy blank garments for many Jobs from the same Vendor, you don't want to read through the same product again and again. Hoops lets you consolidate blank goods across Jobs, so a Vendor's Purchase Order (PO) shows each product once, with the total quantity to order. That makes ordering from the Vendor simpler.

Grouping changes how items are organized on the PO. It doesn't change the quantities you're buying or the totals.

Choose a grouping option

  1. Go to Purchasing and select PURCHASING QUEUE.

  2. Expand the Vendor's row with the arrow at the left.

  3. In the Settings panel on the right, find Combining Undecorated Product Variants (Blank Goods). If you don't see the panel, select Show Settings.

  4. Choose one of the three options. The draft updates straight away.

Option

What it does

Retain Grouping from Jobs

Keeps each Job's items separate, just as they are on the Job. A product that's on three Jobs is listed three times, once per Job. This is the right choice when you want to see which Job each item is for.

Merge Each Product into One Group

Lists each product once and adds up its colors and sizes across all the Jobs on the PO. This is the usual choice for consolidating apparel.

Merge All Products into One Group

Puts all of your blank goods into a single group, with colors and sizes added together. Each product is still listed on its own within the group. This is the most efficient use of space on a PO.

Hoops shows a short description under each option. Select the information icon at the top of the Settings panel to show or hide these descriptions.

Example: the same product on two Jobs

A Vendor has two Jobs queued. Each Job needs 111 of the same hat.

With Retain Grouping from Jobs, the draft lists the hat twice: 111 for Job 19 and 111 for Job 20.

With Merge Each Product into One Group, the draft lists the hat once, with a quantity of 222. Select the arrow on the line to see which Jobs the quantity came from.

The Subtotal, tax, and Total are the same either way. You're buying the same 222 hats. Only the layout of the PO is different.

Combining products is different from grouping by Job

These two ideas are easy to mix up:

  • Combining identical products and their variants adds up the same product, in the same colors and sizes, across Jobs. This is what Merge Each Product into One Group does.

  • Grouping items by Job keeps each Job's items together, so you can see what belongs to which Job. This is what Retain Grouping from Jobs does.

You choose between them depending on how you order from the Vendor.

Which option should I choose?

Neither choice is wrong. Pick the one that suits how you order from this Vendor.

  • Apparel and other blank goods: Merge Each Product into One Group. A Vendor supplying the same garments for many Jobs is easier to order from when each product appears once with its total quantities.

  • Check goods in against each Job: Retain Grouping from Jobs. You can see which Job each item is for.

What is never combined

Only blank goods with no decoration are combined. Decorated items stay grouped by Job, whichever option you choose. This also applies to decoration lines, setup charges, and additional costs. They always stay with the Job they belong to.

If a Vendor only has one Job queued, or each product appears only once, all three options look the same.

Choose before you create the PO

The grouping you choose shapes the PO that CREATE PO or CREATE & EDIT PO makes. If you choose Merge Each Product into One Group, the new PO has a single line for each product, with the combined quantity.

The setting doesn't change POs that already exist, so choose the grouping before you create the PO. To choose which Jobs go on the PO, see Choose Which Jobs and Items to Include on a Purchase Order. To create the PO, see Create a Purchase Order from the Purchasing Queue.

Keep your choice

Hoops remembers your option in the browser you're using and applies it to every Vendor in the Queue. When your selection is different from your company's default, two buttons appear:

  • SAVE AS DEFAULTS makes your selection the default for everyone in your company.

  • Reset to Defaults returns the setting to your company's default.

Only use SAVE AS DEFAULTS when you want your whole purchasing team to start with the same grouping.
