Reset the Ordering or Receiving Status of an Item

Correct a Purchase Order item that was marked as ordered or received by mistake, and see what resetting changes and doesn't change.

If you mark an item as Ordered or Received by mistake, you can reset it. Resetting puts the item back to an earlier status so you can mark it correctly.

⚠️ Important

Resetting a status does not restore quantities that were previously removed from the Purchase Order or returned to the Purchasing Queue.

When to reset an item

Use a reset when you:

  • marked an item as Ordered before you actually placed the order;

  • marked an item as Received before the goods arrived;

  • need to change an item from Backordered back to a normal order;

  • want to start an item's ordering again from Pending.

If you only need to record a short or missing delivery, use the receiving actions instead. See Purchase Order Receiving Actions.

Find the reset options

  1. Go to Purchasing and select the Purchase Order number.

  2. In ACTIONS VIEW, find the item. You can reset a single line, a product, a group, or the whole Purchase Order.

  3. Select the ... button (More Actions).

  4. Under Ordering Actions, select Show if the actions are hidden, then choose a reset.

The Reset options only appear when every item you're working on has already been ordered or received. If you're working on items that are still Pending, you'll see the normal ordering actions instead. See Purchase Order Ordering Actions.

The reset options

Option

Where

What it does

Reset to Pending

Ordering Actions

Puts the items back to Pending, as if you hadn't ordered or received them. The order date, received date, and any expected delivery date are cleared.

Reset to Ordered

Ordering Actions

Marks the items as Ordered for their full quantity. Any received quantity and expected delivery date are cleared.

Reset to Received

Receiving Actions

Marks the items as Received, with the quantity received set to the quantity ordered. It appears when every item you're working on has been received.

Hoops asks you to confirm. The message tells you that the change overrides the current state of the items. Select the button to confirm, for example Mark Pending.

After you reset, the items' statuses, the Purchase Order's Status, and the Purchasing status on the linked Jobs update to match.

What resetting doesn't change

Resetting changes the ordered and received status of an item. It doesn't undo what other actions did to the quantity.

For example, you use Partial Order to order 40 of a line of 60, and the other 20 return to the Queue. If you reset the line to Pending, it still shows 40, and the 20 stay in the Queue. The same is true after Remove and Backorder or Partially Received: the quantity that moved stays where it moved to.

If you need to change the quantity on the Purchase Order, edit it. See Create and Edit a Purchase Order. Check the Purchase Order and the Purchasing Queue after you reset to make sure they show what you expect.

Correct a Not Received mistake

Use the reset that matches where you want the items to be, and check what you chose when you recorded Not Received:

  • You chose Still Waiting. The items are still on the Purchase Order. Reset them to Pending, Ordered, or Received.

  • You chose Reorder. The items left the Purchase Order and are in the Queue. Resetting won't bring them back. Create a new Purchase Order from the Queue. See Create a Purchase Order from the Purchasing Queue.

  • You chose Mark Missing Items as No Purchase. The items are in the No Purchasing Needed section of the Job's Purchasing tab. Resetting doesn't return them. To bring them back, see Order Later or Mark Items as No Purchasing Needed.

If you left items on the Purchase Order and want them back in the Queue instead, reset them to Pending, then use Remove from PO.
