Set Up and Filter the Purchasing Queue

Narrow the Purchasing Queue to the Jobs you want to buy for now, such as Jobs with a deposit or Jobs not on hold, using Updated At and JobBoard status filters.

The Purchasing Queue shows everything you still need to buy. Filters let you narrow it to the Jobs you want to buy for right now. For example, you can buy only for Jobs that have a deposit, leave out Jobs on hold, or work through one stage of your pipeline at a time.

Filters only change what you see in the Queue. They don't change your Jobs, and items that are hidden are still waiting to be purchased. They reappear as soon as the filters no longer exclude their Job. To learn more about the Queue, see Understanding the Purchasing Queue.

Where to find the filters

  1. Go to Purchasing.

  2. Select PURCHASING QUEUE.

The filter panel is at the top of the page. It reads Show only items contained within Jobs that match these filters.

Choose how recently Jobs were updated

The first filter is always there: Updated At within a number of days. Choose 7 days, 14 days, 30 days, 60 days, or 90 days.

Only items from Jobs that were updated within that period appear in the Queue. A shorter period keeps the Queue focused on current work. A longer period brings older Jobs back into view.

Filter by Job status

You can also filter by the status columns on your JobBoard, such as Account, Overall Status, or Purchasing. The columns you can choose from depend on the status columns in your account.

  1. Select Add Filter.

  2. In Column, choose a status column, for example Account.

  3. In Operator, choose is any of to show Jobs with any of the statuses you select, or is none of to hide them.

  4. In Value, select one or more statuses.

The Queue updates as soon as the filter is complete. To remove a filter, select the X at the left of its row.

Common ways to use filters

What you want to do

Filter

Buy only for Jobs that have been paid or have a deposit

Account is any of DEPOSIT PAID, PAID IN FULL

Leave out Jobs that are on hold

Account is none of HOLD ORDER

Review only the Jobs that are on hold

Account is any of HOLD ORDER

Combine more than one filter

When you add more than one status filter, a selector between the filters lets you choose how they combine:

  • And shows only Jobs that match all of the filters. This is the default.

  • Or shows Jobs that match any of the filters.

For example, say you want to buy for Jobs that have a deposit, but not Jobs on hold. Add Account is any of DEPOSIT PAID and Account is none of HOLD ORDER, and join them with And. Only Jobs that have a deposit and are not on hold appear.

If you join the same two filters with Or, you see a wider set: every Job that has a deposit, plus every Job that isn't on hold.

Find a Job that isn't appearing

If you expect to see a Job's items and don't:

  • Check Updated At within and choose a longer period.

  • Check your status filters. An is any of filter hides Jobs with other statuses, and an is none of filter hides Jobs with the selected statuses.

  • Check that the items have a Vendor. Items without a Vendor don't appear in the Queue.

  • Select Reset to Defaults to return to your company's standard view.

Save your filters as the default

Hoops remembers your filters for you in the browser you're using, and other people aren't affected. When your filters are different from your company's defaults, two buttons appear:

  • SAVE AS DEFAULTS makes the current filters the default for everyone in your company.

  • Reset to Defaults returns your filters to the company defaults.

Only use SAVE AS DEFAULTS when you want to change the starting view for your whole purchasing team.
