Understanding the Purchasing Board

Learn how to find, filter, and open the Purchase Orders you've created on the Purchasing Board, and how it differs from the Purchasing Queue.

The Purchasing Board is where you manage the Purchase Orders you've created. It's the Bought it and Got it stages of purchasing in Hoops: you order from your Vendors and record what arrives. For the full picture, see How Purchasing Works in Hoops.

The Board is the Purchasing page, and it lists one row for each Purchase Order, in the same style as SalesBoard and JobBoard. If you're new to Boards, see How Boards Work in Hoops.

The Board and the Purchasing Queue do different jobs. The Queue shows what you still need to buy. The Board shows what you've created a Purchase Order for. When you create a Purchase Order from the Queue, the items leave the Queue and the new Purchase Order appears on the Board.

Open the Purchasing Board

Select Purchasing in the left-hand menu.

The Board lists your Purchase Orders with the newest at the top. At the top right, PURCHASING QUEUE takes you to the Queue, and ADD PURCHASE ORDER starts a new Purchase Order.

What the Board shows

Each row is one Purchase Order. These columns appear by default:

Column

What it shows

PO #

The Purchase Order number. Select it to open the Purchase Order.

Job #

Each Job on the Purchase Order. A Purchase Order that covers several Jobs lists them all.

Document Type

The kind of document in the row.

Vendor

The Vendor the Purchase Order is for.

Customer

The customer for the Job. This is blank when a Purchase Order covers several Jobs.

Total

The Purchase Order total before tax.

Viewed

Whether the Purchase Order has been viewed.

Status

Where the Purchase Order is up to.

Vendor Status

Where the Purchase Order is up to with the Vendor.

The Board also includes Owner, Created By, Created Date, Reference, Deadline, and Actions columns.

A new Purchase Order starts as CREATED. To learn what each status means and how it changes, see Understanding Purchase Order Status.

Find the Purchase Orders you need

Use the tools above the grid to narrow down the Board:

  • Search... looks for a Purchase Order.

  • FILTERS lets you filter by any column. Select ADD FILTER, choose a column, an operator, and a value.

  • SHOW/HIDE COLUMNS lets you choose which columns appear.

  • ROW HEIGHT changes how tall each row is.

  • EXPORT exports the Board.

The Home tab is the standard view. As with SalesBoard and JobBoard, you can also keep your own views for the way you like to work, and they only change what you see on the Board, not your Purchase Orders. Select ADD VIEW to create one.

Open a Purchase Order

Select the Purchase Order number in the PO # column. The Purchase Order opens in a panel on top of the Board, so you don't lose your place. Close the panel to return to the Board.

At the top of the panel you'll see the Vendor, the Purchase Order owner, and its Status and Vendor Status. Two tabs sit underneath:

  • Details shows the Purchase Order itself.

  • Comments is for notes about the Purchase Order.

Use the ACTIONS button at the top right for options such as Edit, Send, Preview, and Get PDF. The same options are available from the Actions column on the Board.

Switch between views of a Purchase Order

Three buttons above the Purchase Order change what you're looking at:

View

What it's for

ACTIONS VIEW

Working on the Purchase Order. It shows each item with its quantity, rate, total, Job #, and Status, plus the buttons you use to mark items as ordered and received.

VENDOR VIEW

A preview of the Purchase Order information prepared for your Vendor: items, quantities, rates, and totals.

UNPACKING VIEW

A version without prices that shows each item with the Job it belongs to, so you can sort goods by Job when they arrive.

ACTIONS VIEW is where you'll work on a Purchase Order. See Ordering and Receiving Purchase Orders to learn how. For UNPACKING VIEW, see Use the Purchase Order Unpacking View.

Jump to a Job

On the Board, select a Job number in the Job # column to open that Job in the side panel. You'll see the Job's details, including its Purchasing status, without leaving the Purchasing Board.

A Purchase Order that covers several Jobs lists every Job number in that cell, so you can open any of them.
