Follow along step by step to build and save your first promotional product and decoration quote using the sample data in your Hoops free trial.
Your free trial already includes sample customers, products and decorations. In this guide you'll use them to build a real quote from start to finish, in about a minute.
Quick Note Before you start
Hoops needs at least one tax before you can save a quote. Taxes can easily be set up - take a minute to follow Set Up Your Taxes - even just add one as a quick example so you can create a quote quickly using sample data.
Step 1: Start a new quote
Select SalesBoard in the left menu.
Select ADD NEW in the top right.
Under SalesDoc Templates, select Quote | Quote - Default.
The quote editor opens. The left side is a live preview of your quote. The right side is where you make changes. Select any part of the preview to edit it.
Step 2: Choose the customer
In the preview, select Prepared For.
Select the Choose Customer field and type
Sam.Select Sam Jones from Coca Cola.
Sam's details appear in the preview and on the right.
Step 3: Add the Catalog Product - Creative Sketch Set
In the preview, select the empty item area under Item. This is the row with the gray image box and placeholder bars.
The options for adding things to your quote now appear on the right. Under Add Products, select Catalog.
Select the search field, type
Creative, and select Creative Sketch Set. Each result shows its vendor. This product comes from Example Vendor, so this is a product you would outsource to a vendor.
The sketch set is added to your quote. Scroll down on the right to Variant Pricing. This is where you enter the quantity, colors and sizes.
Step 4: Enter the quantity and markup
You'll order 100 sketch sets.
In Quantity, enter
100. Hoops fills in the buy price for that quantity, $5.11 for each sketch set.Select the Color field and choose N/A from the dropdown options. This product doesn't come in different colors. You don't need to type anything.
Select the Size field and choose Closed: W 155mm x H 210mm x 20mm. from the dropdown options.
In Markup, enter
100. Hoops adds 100% to the buy price, so the Sell Price becomes $10.22.Note: Markups can be saved in your settings so they're applied automatically. For now, we'll add it manually.
The preview now shows everything you've built so far.
Step 5: Add decoration
In this example, let's just add a one-color screen print. Hoops stores your entire decoration pricing matrix, so you can add any decoration here.
Select the back arrow at the top of the right side to return to the list of things you can add.
Under Add Decorations, select Catalog.
Type
1 Colourand select 1 Colour Screen Print. This decoration comes from Example Decoration Vendor, a local screen printing shop, so the decoration is outsourced too.In Decoration Pricing, the quantity is already set to 100 to match your product. Enter
20in Markup. As an example, Hoops adds 20% to the $2.95 buy price, so the Sell Price becomes $3.54.Under Decoration Specs, enter the details for this decoration:
Position:
Front coverColor:
BlackSize:
2 inch logo
Turn off Add Setup Cost as an Additional Cost.
Note: The decoration's setup cost is saved with the decoration. You can select or deselect it each time you add the decoration. We'll turn it off for this example.
Look at the preview. The decoration price is included in the price of the sketch sets, so your customer sees one price for each set: $13.76 ($10.22 for the sketch set plus $3.54 for the screen print), or $1,376.00 in total.
Note: Want your customer to see the difference in pricing? Scroll down on the right to Pricing Mode and choose Itemise Decoration Pricing. For now, leave Roll-Up Decoration Pricing selected so everything stays rolled in together.
Step 6: Add shipping
Select the back arrow again.
Under Add Additional Costs, select Shipping.
In Pricing, enter
15in Buy Price. The Sell Price becomes $15.00.Under Settings, choose how shipping appears on the quote. Roll-Up Additional Cost Pricing is selected by default. It includes the $15 in the price of the sketch sets, so each set now shows $13.91 and the quote total is $1,391.00. For this example, leave it rolled in.
Note: Want your customer to see shipping as its own $15.00 line? Choose Itemise Additional Cost Pricing instead. You can change this at any time before you send the quote.
See everything in the preview
Take a look at the preview. It shows everything from the quote you just created.
This is how quick and easy it is to build a quote.
Save and send your quote
