Understand the Customer Proof Portal

Learn how the Customer Proof Portal provides a centralized place for customers to review, approve, or reject artwork proofs. Track approvals, collect feedback, and create a clear, traceable proofing process before production begins.

The Hoops Customer Proof Portal provides customers with a centralized location to review, approve, or reject artwork proofs sent from the JobBoard. The portal is designed to create a clear and traceable approval experience while helping reduce confusion during the production process.

Customers access the portal through the secure proof approval link included in the proof notification email.


Terms and Conditions Acceptance (Optional Setting)

When a customer first opens the Proof Portal, they may be presented with a Terms and Conditions screen if Proof Terms have been configured within your Hoops Organization Settings.

Customers must accept these Terms and Conditions before they are able to continue into the Proof Portal.

Until the Terms are accepted, the View Proofs button remains disabled.

This helps businesses ensure customers acknowledge approval terms and conditions before reviewing artwork.


Reviewing Proofs

Once Terms have been accepted, customers are taken into the Proof Portal where they can review all proofs.

Within the portal, customers can:

  • See how many proofs require action

  • View the current approval status of each proof

  • Navigate between proofs using the arrow controls

  • Review the proof artwork in detail

  • See which product or Job item the proof relates to (if linked)

Displaying linked product information helps reduce approval confusion, especially for Jobs containing multiple products, garments, or artwork variations.


Approve or Reject Proofs

Customers can either approve or reject each proof individually.

Approvals

When approving a proof, the customer clicks Approve and will be automatically directed to the next proof awaiting approval, or to the confirmation screen if there are no more proofs awaiting approval.

Rejections

If rejecting a proof, the customer is required to provide a rejection reason explaining what changes are needed before the rejection can be submitted.

This rejection feedback is automatically sent via email to the Hoops user who uploaded the proof and the rejection comments are stored in the Job / Proofs tab.

Clear Approval Decisions

The Proof Portal is designed around a simple principle: a proof is either approved for production or it requires changes. There is no grey area. Even small changes are considered a rejection, as they should be.

By requiring customers to choose either Approve or Reject, the portal helps eliminate unclear responses that can create production issues later.

For example, a customer might say: "Approved, but please make the logo larger."

While this may sound like an approval, it is actually a request for changes and should be treated as a rejection.

Using clear approval and rejection actions ensures there is no ambiguity about whether production can proceed. If changes are required, customers can reject the proof and provide detailed feedback, allowing the artwork team to make revisions and issue an updated proof for approval.

This creates a more reliable approval process, reduces misunderstandings, and helps ensure production only begins once artwork has been fully approved.


Final Confirmation Screen

Once all proofs have been actioned, the customer is shown a confirmation screen summarizing the completed review process.

Customers can also click to View Proofs, which will display the status (Approved or Rejected) of that proof, but there is no ability for the customer to take action on a proof that has already been actioned.
