Adding users to Hoops allows your team to collaborate across SalesDocs, Jobs, Tasks, Comments, Proof Approvals, and Automations. Each user receives their own login, permissions, task assignments, notifications, and activity history.
User management is accessible from Settings → Users, where administrators can invite new users, manage permissions, and review pending invitations.
Invite a New User
To add a user, click Invite User from the Users page.
When creating the invitation, you'll enter:
Name
Email Address
Permission Level
The selected permission level determines what the user can access within Hoops.
Once the invitation is sent, the user will appear in the Users list with a Pending status until they accept the invitation.
Accepting the Invitation
The invited user will receive an email containing their Hoops invitation.
Before clicking Accept Invitation, the user should ensure they are completely logged out of any existing Hoops account.
After accepting the invitation, the user will be prompted to create their password and complete the account setup process.
Email Addresses Must Be Unique
Each Hoops user must have their own unique email address.
An email address can only be associated with a single Hoops user account and cannot be reused across multiple users or organizations.
If an invitation cannot be accepted, first check whether that email address is already being used within Hoops.
Managing Users
Once a user has accepted their invitation, they become an active member of your Hoops account.
Users can then be:
Assigned Tasks
Mentioned in Comments
Selected in Person columns
Added to Automations
Assigned ownership of SalesDocs and Jobs
Included in Proof Approval and workflow notifications
User permissions can be updated at any time by returning to Settings → Users and editing the user record.
Troubleshooting Invitation Issues
If a user is unable to accept an invitation:
Confirm they are logged out of any existing Hoops account before clicking the invitation link.
Verify the email address is not already associated with another Hoops user account.
Check that the invitation email was sent to the correct email address.
If required, the invitation can be deleted and resent from the Users page.
Adding users early in your Hoops setup helps ensure responsibilities, notifications, tasks, and workflow ownership can be managed effectively across your entire team.
