Hoops allows businesses to automate Proof Approval and Rejection notifications using both Email and SMS Automations.
These notifications help keep customers and internal teams informed throughout the artwork approval process while reducing manual follow-up and ensuring important approval activity is not missed.
Understanding Proof Approval Notifications
Hoops supports two different proof notification methods, each serving a different purpose.
Built-in Proof Notifications
When a customer approves or rejects a proof through the Proof Portal, Hoops automatically sends an email notification for each individual proof to the user who originally uploaded that proof.
If a proof is rejected, the customer's rejection comments are included in the email so the uploader can immediately understand what changes are required.
This notification is built into the Proof Portal and cannot be changed, disabled, or redirected. It will always be sent only to the user who uploaded the proof.
Automation Notifications
In addition to the built-in notification, you can use Automations to notify internal users or even customers when proofs are uploaded.
Unlike the built-in notification, automations work per proof upload batch, not per individual proof. For example, if three proofs are uploaded together in a single upload, Hoops treats this as one batch, and any automation will trigger only once for that upload.
This allows teams to notify additional users or customers without generating multiple emails when several proofs are uploaded at the same time.
Understanding the Trigger
Proof Notification Automations are typically built using the JobBoard statuses updated by Proof Automations.
For example:
Artwork Status changes to Proof Approved
Artwork Status changes to Some Proofs Approved
Artwork Status changes to Proof Rejected
These status changes become the trigger for customer and internal notification workflows.
For more information about how Proof statuses are automatically updated, see JobBoard Automation: Proofs.
Notify Customers Automatically
Once a Proof status has been updated, Status Change Automations can be used to send Email or SMS notifications to customers.
Automated notifications can be used for:
Approval confirmations
Rejection acknowledgements
Requests to review revised artwork
Next-step instructions
Personalized Job updates using short codes
These notifications help maintain consistent communication throughout the artwork approval process without requiring manual follow-up.
Notify Additional Team Members
The default Proof Portal notification only goes to the user who uploaded the proof.
In many businesses, however, the uploader may not be the person responsible for managing the Job.
Using JobBoard Status Change Automations, additional notifications can be sent to:
Job Owners
Assigned Users
Production Teams
Sales Representatives
Specific Hoops Users
This ensures the appropriate team members are informed whenever customer approval activity occurs.
Common examples include:
Notifying Production when all proofs are approved
Alerting Sales when artwork is rejected
Informing a Job Owner when customer feedback has been received
Notifying Artwork teams that revisions are required
Email and SMS Actions
Once triggered, notification automations can perform one or both of the following actions:
Email Notification
Send detailed messages
Include customer and Job information
Use short codes for personalization
SMS Notification
Send concise customer updates
Deliver time-sensitive notifications
Improve visibility for important approval events
Both actions can be used independently or combined within the same workflow.
Benefits of Proof Notification Automations
Using automated Proof notifications helps businesses:
Improve customer communication
Reduce manual follow-up
Increase visibility of approval activity
Keep Job Owners informed
Accelerate artwork and production workflows
Ensure the right people are notified at the right time
By combining Proof Automations with Status Change Automations, businesses can create a complete approval workflow that automatically keeps customers and internal teams informed throughout the artwork approval process.
