Send an Invoice to Quickbooks

Create invoices directly from Hoops and sync them to QuickBooks Online, with invoice numbers, balances, due dates, and payment status updating automatically.

With the QuickBooks Online integration connected, Hoops allows invoices to be created directly from both the SalesBoard and JobBoard. This helps streamline the invoicing process by linking operational workflows with your accounting system in real time.

Invoices created in Hoops are automatically sent to QuickBooks Online, where they become fully managed accounting records while remaining visible within Hoops for ongoing tracking and payment visibility.


Create Invoices from Hoops

Once QuickBooks Online is connected, a Create Invoice option becomes available within the Action menu on both SalesDocs and Jobs.

Creating an invoice opens the invoice screen where accounting and contact information can be reviewed before sending the invoice to QuickBooks Online.


Select Invoice Contacts

When creating an invoice, Hoops allows you to choose which contact should receive the invoice.

If the customer record contains multiple contacts, all available contacts linked to that Company will be available for selection. This includes both:

Configure Invoice Line Items

Each invoice line item automatically defaults to the Revenue Account configured within your QuickBooks Online Integration settings.

The Product/Service selections can also be adjusted per line item if required.

This helps ensure invoices are correctly categorized within QuickBooks Online while still allowing flexibility for different products, services, or accounting requirements.


Sync Invoice Data Back to Hoops

Once the invoice is saved, Hoops immediately creates the invoice in QuickBooks Online and syncs the accounting information back into Hoops.

The synced accounting details include:

  • Invoice Number

  • Due Date

  • Total Invoice Amount

  • Outstanding Balance

  • Payment Status

This information is displayed directly within the Accounting Status column inside Hoops.

As payments are recorded in QuickBooks Online, the payment status automatically updates in Hoops, giving Sales, Production, and Accounts teams live visibility into invoice progress without needing to switch systems.
