Hoops has rebuilt SalesDocs, Jobs, and Purchasing into one connected workflow: Next Generation. This article is for existing Hoops customers deciding whether and when to move, and covers what changes, what stays exactly as it was, and what happens to the work you've already done.
Watch the walkthrough below, then use this article as your reference when you're ready to switch.
Is this for you?
If you're still using Classic Quoting, move to SalesDocs first. Next Generation is built entirely around SalesDocs, and Classic Quoting isn't part of it. See Create Your First SalesDoc.
If you're already using SalesDocs, your workflow today is most likely SalesDoc → Classic Job → Classic Purchase Order. Next Generation replaces the second half of that path with SalesDoc → Job → Purchasing, built around the same SalesDoc structure and interface you already know.
Before you switch
Two things are worth understanding before you move your team over.
This is an organization-wide setting. Unlike the individual Classic Quoting switch available to each user on SalesBoard, moving to Next Generation changes the workflow for your entire team at once. There's no per-user option.
The Classic Schedule isn't available in Next Generation. Some familiar purchasing functionality also changes, as described below.
Choose a quiet time to make the move, particularly if your team is actively working in Hoops throughout the day.
How to switch
Only Admins can see and change this setting.
Go to Settings.
Select My Organisation.
Scroll down to Your Workflow and select Edit.
Select Next Generation Workflow, review the information shown, and select Save.
You'll see the change immediately:
Purchase Orders in the left-hand menu becomes Purchasing.
The Schedule is removed.
The Classic Quoting switcher is no longer available.
What happens to your existing Jobs and Purchase Orders
Switching doesn't remove or change anything you already have. This is the part worth understanding most carefully.
Your Job Board gains a Document Type column, showing whether each Job is a Classic Job or a new-style Job. Every existing Classic Job stays exactly as it was: you can open it, manage it, and keep creating Classic Purchase Orders for it, including Classic Merged Purchase Orders. Your new Purchasing board also lists your existing Classic Purchase Orders alongside new ones, identified the same way.
During your transition, you'll have two purchasing workflows running side by side: existing Classic Jobs keep using Classic Purchasing, while new Jobs use the new Purchasing workflow. As you finish your work-in-progress Classic Jobs, that overlap naturally shrinks until you're working entirely within Next Generation.
What happens when you create a new Job
From SalesBoard, converting a SalesDoc with Convert to Job now creates a new-style Job that carries across the same product grouping, imagery, and information as the SalesDoc, and appears on your Job Board as a new-style Job.
The biggest change is what happens next. Rather than creating Purchase Orders directly from the Job, Hoops works out what needs purchasing and adds it to the Purchasing Queue automatically. As you create more Jobs, the Queue builds a consolidated view of what your business needs to buy, grouped by Vendor across every Job. When you're ready, you create Purchase Orders from the Queue instead of from each Job individually.
This is the core of the new Purchasing system. For the full explanation, see How Purchasing Works in Hoops and Understanding the Purchasing Queue.
What happens to your existing Classic Quotes
Once you switch, you can no longer create or edit Classic Quotes in their original format. All of your existing Classic Quotes remain available on SalesBoard, but to edit one or convert it into a Job, you first convert it into a SalesDoc:
Open the Classic Quote.
Select Actions.
Select Edit as SalesDoc or Duplicate as SalesDoc.
Once converted, make any changes you need, then use Convert to Job to bring it into the Next Generation workflow. None of your existing quotes are lost.
Switching back to Classic
If your team isn't ready to commit, you can return to Settings > My Organisation > Your Workflow and select the Classic workflow again.
There's an important limit: any new-style Jobs and Purchase Orders you created while on Next Generation are not accessible while you're on Classic. They won't appear on the Classic Job Board, and their purchasing won't be available through Classic Purchase Orders. They aren't deleted — if you switch back to Next Generation, those Jobs and their purchasing records are available again.
Because of this, we recommend exploring Next Generation with test Jobs before committing real production work to it, and making the permanent move only once your whole team is ready to go together.
Need it. Bought it. Got it.
The rebuild comes down to three simple ideas. When you create a Job, Hoops knows what you need. When you place your orders, Hoops knows what you've bought. When goods arrive, Hoops knows what you've got.
That understanding powers the Purchasing Queue, smarter ordering and receiving, and a Purchasing status that updates automatically as your work progresses, all connected to a Job experience that now shares its underlying record with SalesDocs.
Where to start
Once you've switched, the best place to start is Understanding the Purchasing Queue. From there:
