Integrate Hoops with Mailchimp

Add subscribers automatically in Mailchimp whenever a customer is added to Hoops.

Create Your First Zap: Sync Hoops Customers to Mailchimp

This guide walks through creating your first Zap using Hoops and Mailchimp.

In this example, we will create an automation that adds a customer to Mailchimp whenever a new customer is created in Hoops.

This is a great first Zap because it shows the core Zapier process:

  • Connect Hoops to Zapier

  • Connect Mailchimp to Zapier

  • Choose a Hoops Trigger

  • Choose a Mailchimp Action

  • Map fields between apps

  • Test and publish the Zap

If you use Hubspot, SalesForce, Sendgrid, or another email marketing tool, the exact same concepts apply.




What This Zap Will Do

Once complete, this Zap will work like this:

Trigger: New Customer in Hoops
Action: Add/Update Subscriber in Mailchimp

When a new customer is added in Hoops, Zapier will automatically send that customer’s details to Mailchimp as a subscriber.




Before You Start

Before creating the Zap, make sure you have:

  • Access to your Hoops account

  • Access to your Zapier account

  • Access to your Mailchimp account

  • Permission to connect apps in Zapier

You will also need to connect both Hoops and Mailchimp to Zapier.




Step 1: Connect Hoops to Zapier

In Hoops, go to Settings > Integrations.

On the Zapier tile, click Generate API Key.

Copy the API Key.

Now go to zapier.com and log in to your Zapier account.

In Zapier, click App Connections from the left-hand menu, then click Add Connection.

Search for Hoops, select the Hoops app, and paste your API Key into the pop-up window.

Click Yes, continue to Hoops.

Hoops is now connected to Zapier.




Step 2: Connect Mailchimp to Zapier

In Zapier, go to App Connections.

Click Add Connection.

Search for Mailchimp and select the Mailchimp app.

Follow the prompts to log in to Mailchimp and allow Zapier to access your account.

Once complete, Mailchimp will be connected to Zapier.




Step 3: Create a New Zap

In Zapier, click Create Zap.

This will open the Zap editor, where you will choose the event that starts the Zap and the action that should happen afterward.

Step 4: Choose Hoops as the Trigger App

In the Trigger step, search for Hoops and select the Hoops app.

Step 5: Choose New Customer as the Event

For the event, choose:

New Customer

This means the Zap will start whenever a new customer is created in Hoops.

Step 6: Select Your Hoops Account

Choose the Hoops account you connected earlier. Click Continue.

Zapier may ask you to test the trigger. This allows Zapier to find a sample customer from Hoops that can be used when setting up the next step.

Step 6: Choose Mailchimp as the Action App

Next, choose Mailchimp as the Action app.

For the Action event, select:

Add/Update Subscriber

This means Zapier will either add a new subscriber to Mailchimp or update the subscriber if they already exist.

Click Continue.

Step 7: Select Your Mailchimp Account

Choose the Mailchimp account you connected earlier.

Click Continue.

Step 8: Map Your Hoops Fields to Mailchimp

Zapier will now ask you to set up the Mailchimp subscriber details.

This process is called field mapping.

Field mapping simply means choosing the Mailchimp fields you want to populate, then selecting where that information should come from in Hoops.

For each Mailchimp field, click the + button to browse the available data from the Hoops Trigger step, then select the correct Hoops field to map across.

For example, if Mailchimp asks for an email address, you would click the + button and choose the Customer Email field from Hoops.

Here’s a common example setup:

Mailchimp Field

Hoops Field

Email Address

Customer Email

First Name

Customer First Name

Last Name

Customer Last Name

Company

Customer Business Name

Phone

Customer Phone

The exact fields available may depend on your Mailchimp audience settings.

At minimum, you will usually need to map the customer’s email address.

Step 9: Test the Zap

Once your fields are mapped, click Test.

Zapier will send a test customer from Hoops to Mailchimp.

Open Mailchimp and check that the test subscriber has been created or updated correctly.

Step 10: Publish the Zap

Once the test is successful, click Publish.

Your Zap is now live.

From this point forward, whenever a new customer is added in Hoops, Zapier will automatically add or update that subscriber in Mailchimp.

What Happens Next?

After the Zap is published, it will continue running automatically based on your Zapier account and plan.

You can return to Zapier at any time to:

  • Edit the field mapping

  • Change the Mailchimp audience

  • Turn the Zap on or off

  • Review Zap history

  • Troubleshoot errors
