Configure Starting Numbers

Configure the starting numbers used for SalesDocs, Jobs, and Purchase Orders. Learn how numbering works, important restrictions, and common numbering formats used by Hoops customers.

Hoops automatically generates sequential numbers for SalesDocs, Jobs, and Purchase Orders. When setting up your account, it's recommended that you configure your starting numbers before creating documents.

Using higher starting numbers creates more unique document identifiers for customers, suppliers, and accounting systems. It can also help reduce the chance of numbering conflicts when integrating with systems such as QuickBooks Online.


Update Your Starting Numbers

To configure your starting numbers:

  1. Go to Settings > My Organization

  2. Scroll to the Starting Numbers section

  3. Click the Edit (pencil) icon

  4. Enter the starting numbers for:

    • SalesDocs

    • Jobs

    • Purchase Orders

  5. Click Save

⚠️ Starting numbers can only be increased.

For example:

If you set your SalesDoc starting number to 100, you can later change it to 200, but you cannot reduce it to 50. This restriction helps prevent duplicate document numbers from being created.

Many businesses choose starting numbers that align with the current year to make documents easier to identify.

This approach creates unique document identifiers while making it easy to identify the year a document was created.
