Add Files to Jobs

Learn how to upload and manage files directly on Jobs. Store artwork, spec sheets, tech packs, supplier documents, production files, and other important attachments in one centralized location for easy team access.

Hoops allows teams to upload and manage artwork, production files, and supporting documents directly from the JobBoard, helping keep all job-related information centralized and easily accessible throughout the production workflow.

By attaching files directly to Jobs, teams can improve collaboration, reduce lost information, and ensure artwork and customer assets remain connected to the correct records.

Manage Files from the Job Card

Files and artwork are managed from the Files tab within each Job card.

Files can be uploaded using drag-and-drop functionality or by selecting files directly from your device.

Snapshot

Hoops supports file uploads up to 200 MB, making it suitable for large artwork files, production assets, proofs, specifications, and supporting documentation.

Optional file descriptions can also be added to help teams better identify and organize uploaded files.

Uploaded files display important details including:

  • File name

  • Description

  • Uploaded by

  • Upload date

Centralized Customer File Storage

Once uploaded to a Job, files are also stored against the related Customer record.

Snapshot

This allows artwork and customer assets to be reused across future Jobs without needing to upload the same files repeatedly.

Instead of re-uploading files for repeat orders or ongoing customer work, existing customer files can simply be associated with new Jobs as needed.

This helps businesses:

  • Reduce duplicate uploads

  • Centralize artwork storage

  • Improve file organization

  • Maintain consistent customer assets

  • Save time across repeat workflows

Artwork and Proofing Workflows

Artwork files can be uploaded directly to Files for internal production use or managed through the Proof Portal when customer approval is required.

Keeping artwork, proofs, and supporting documents connected directly to the Job helps ensure production teams, sales teams, and customers all remain aligned throughout the workflow.

By centralizing file management across Jobs and Customers, Hoops provides a more organized and scalable approach to managing artwork and production assets.
