Use Comments to Capture Customer Context

Comments are ideal for recording observations, internal notes, and discussions about a customer.

Unlike formal Tasks, Comments are designed for information sharing and collaboration.

Examples might include:

  • Customer prefers email communication

  • Customer mentioned a new office opening later this year

  • Team discussion about a recent order experience

  • Internal notes about upcoming opportunities

  • Suggestions for future products or services

You can also use @mentions to notify specific team members when their input is required.

Because Comments remain attached to the Customer Profile, they help create a running history of customer interactions and internal knowledge that the entire team can reference.

Use Tasks for Follow-Ups and Accountability

Tasks are best used when something needs to happen in the future and a specific person should be responsible for it.

Unlike Comments, Tasks include ownership, due dates, and progress tracking.

Common examples include:

  • Follow up on a reorder opportunity in six months

  • Contact the customer before an upcoming event

  • Schedule an account review meeting

  • Confirm artwork requirements for a future project

  • Reach out regarding a renewal or contract discussion

When a Task is assigned, the responsible user receives a notification and the activity becomes visible within Hoops, helping ensure important customer actions are completed on time.
