Add Catalog Decorations to a SalesDoc

Add Catalog Decorations to a SalesDoc Decorations stored in your Hoops catalog can be added directly into a SalesDoc.

Decorations stored in your Hoops catalog can be added directly into a SalesDoc. This allows you to quickly apply your standard decoration pricing, setup charges, markup rules, and decoration specifications without manually entering the information each time.



Step 1: Search for a Decoration

From the Add Decoration section, select Catalog.

You will then be prompted to search for the decoration you want to add. Rather than relying on the dropdown list, it is recommended to type a search term to quickly locate the correct decoration.

The search will match against both:

  • Decoration name

  • Decoration category

Step 2: Select the Decoration

Click the decoration from the search results to add it to the SalesDoc.

Once selected, the decoration settings and pricing information will load automatically from your catalog.

⚠️ Important - Decoration Quantities

When a decoration is added within a group, the decoration quantity will automatically match the combined quantity of all products in that group.

This helps ensure the decoration quantities stay aligned with the products being decorated and reduces the chance of pricing or production errors.

If you need the decoration quantity to differ from the total product quantity, create a separate group and add the decoration into that group without any products attached. This allows you to manually control the exact decoration quantity independently from the product quantities. Learn More.


Step 3: Review Pricing and Costs

You can review and adjust the pricing information before finalizing the decoration.

Available options include:

The markup percentage will default based on your Hoops Markup settings.

Linked Setup Cost

If the decoration includes a linked setup cost in your catalog, you can choose whether to include it in the SalesDoc.

Enable or disable the setup cost using the toggle option.

When enabled:

  • The setup cost will be added as an additional cost item

  • The document preview updates immediately

Step 4: Add Decoration Specs (Optional)

Use the Decoration Specs section to define the decoration details that will appear on the SalesDoc.

Common examples include:

  • Position (e.g. Left Chest, Front, Back)

  • Color (e.g. White, Black, Full Color)

  • Size (e.g. 3 inch wide, 100mm x 80mm)

What the customer sees is controlled by your SalesDoc template description settings.

You can also use shortcodes within the description settings to dynamically display decoration information such as:

  • Position

  • Color

  • Size

  • Vendor

  • Decoration details

If a shortcode is not already included in your template, you can add it by clicking the relevant node within the description builder.

There are many situations where you may want to track decoration specifications internally without displaying all of that information to the customer.

For example, internal production details such as exact print positioning, ink colors, thread references, or sizing instructions may be important for your team while remaining unnecessary for the customer-facing SalesDoc.

The description and shortcode system gives you full control over this behavior. Simply customize the description settings and choose which shortcode fields should appear in the customer-facing description. Any information not included in the description can still be stored internally within the decoration specs for production and operational reference.

Step 7: Upload a Decoration Image (Optional)

You can upload a mockup, artwork preview, or decoration image directly onto the decoration.

Click the image section of the decoration to upload your file.

The uploaded image will appear within the SalesDoc and customers can click the image to view a larger preview.

Step 8: Configure Tax and Pricing Mode

You can configure the tax settings for the decoration and adjust the pricing mode if required.

This includes overriding the default pricing mode inherited from the SalesDoc template.
