How Boards Work in Hoops

Learn how Boards organize your sales and production workflow, helping you track work, customize processes, and manage everything in one place.

Boards are the central workspaces in Hoops. Rather than storing information in separate modules or disconnected lists, Hoops organizes your work into interactive Boards that track every stage of your customer, sales, and production workflow.

Each Board displays information in rows and columns, making it easy to see the status of every job at a glance while allowing you to drill into the full details whenever needed.


The Main Boards in Hoops

Hoops includes several core Boards, each designed for a different part of your workflow:

SalesBoard

Manage leads, opportunities, SalesDocs, SalesPresentations and SalesStores.

JobBoard

Manage production, artwork, purchasing, dispatch, and fulfillment.

Together, these Boards provide complete visibility from the first customer enquiry through to invoicing and delivery.


Rows Represent Your Work

Each row on a Board represents a record.

For example:

  • A row on the SalesBoard represents a SalesDoc, SalesPresentation, or SalesStore.

  • A row on the JobBoard represents a Job.

Clicking a row opens the full record, where you can access additional information such as comments, files, activity history, tasks, proofs, invoices, and more.


Columns Track Your Workflow

Columns allow you to track information about each record.

Depending on the Board, columns can be used for:

  • Workflow statuses

  • Due dates

  • Assigned team members

  • Notes

  • Customer information

  • Production stages

  • Purchasing progress

  • Shipping information

Status columns are especially powerful because they can also trigger Automations, helping workflows progress automatically as work moves through your business.


Customize Boards to Match Your Business

Every business works differently, so Hoops allows you to customize your Boards to match your own processes.

You can:

  • Add Status, Date, Text, and Person columns

  • Rename and reorder columns

  • Customize Status values and colors

  • Resize or pin important columns

  • Create saved Views using Filters and Show/Hide Columns

This allows each department to work from a Board that reflects how they operate.


Filter and Save Views

As your business grows, Boards may contain hundreds or thousands of records.

Rather than working from one large list, you can use Filters to display only the records you need, combine multiple filters to create highly targeted workspaces, and save those combinations as reusable Views.

For example, you might create Views for:

  • Purchasing

  • Artwork

  • Production

  • Dispatch

  • Accounts

  • My Active Jobs

Each View can also display only the columns relevant to that team, making Boards cleaner and easier to navigate.


Export Your Board Data

You can export your SalesBoard or JobBoard at any time.

The export reflects exactly what you're currently viewing, including any applied filters, visible columns, sorting, and the active board view. It does not export every SalesDoc or Job in your account.

The export contains the list of records displayed on the board, rather than the full details of each SalesDoc or Job. For example, it exports the columns and information visible in your current view, but not the complete document contents, comments, files, tasks, proofs, or other record-specific data.

This makes it ideal for exporting a focused list of SalesDocs or Jobs for reporting, analysis, sharing with your team, or working with the data in another application.

Tip: Configure your board exactly how you want it first - apply filters, show or hide columns, and select the appropriate view. Your export will match what you see on screen.

Although each Board serves a different purpose, they are all connected.
