Customize JobBoard

Customize your JobBoard with columns, statuses, Views, and Automations to create a workflow that reflects how your business operates.

One of the most powerful features of Hoops is the ability to customize your JobBoard to match the way your business actually operates.

Every business manages work differently. Some businesses focus heavily on artwork approvals, others on purchasing and supplier management, while some need detailed production tracking across multiple departments.

Rather than forcing a fixed workflow, Hoops allows you to build a JobBoard that reflects your process.

By adding columns, creating custom statuses, building Views, and using Automations, you can create a workspace that gives your team visibility into exactly what needs to happen next.

Think About Your Workflow Stages

A great starting point is to consider the major stages a Job moves through before it is completed.

Many businesses create status columns for areas such as:

  • Artwork

  • Purchasing

  • Production

  • Dispatch

  • Accounts

  • Quality Control

This allows each department to manage its own workflow while providing visibility across the entire Job.

For example:

Artwork

Purchasing

Production

Dispatch

Proof Required

Awaiting Supplier

In Production

Ready to Ship

Proof Sent

Ordered

Complete

Dispatched

Approved

Received

On Hold

Collected

Rather than relying on notes or memory, the JobBoard provides a live view of where every Job currently sits.

Create an Overall Status

One of the most popular customizations is adding an Overall Status column near the front of the board.

This gives users a quick summary of a Job's current state without needing to review every workflow column.

Common Overall Status examples include:

  • Waiting on Customer

  • Awaiting Artwork Approval

  • Ordering Stock

  • In Production

  • Ready to Ship

  • Complete

Many businesses then use Automations to update this status automatically as other workflow columns change.

Track Information Unique to Your Business

Beyond workflow stages, many businesses add columns that capture information specific to their operation.

Examples include:

  • Equipment or Machine Allocation

  • Production Area

  • Installer or Decorator Assigned

  • Priority Level

  • Delivery Method

  • In-Hand Date

  • Purchase Order Due Date

These custom fields allow your JobBoard to become a true operational dashboard rather than simply a list of Jobs.

Create Department-Specific Workspaces

Once your columns are configured, you can use Filters and Views to create focused workspaces for different teams.

For example:

Artwork Team

  • Jobs requiring artwork

  • Proofs awaiting approval

  • Rejected proofs needing revision

Purchasing Team

  • Jobs awaiting stock

  • Outstanding supplier orders

  • Purchase Orders requiring action

Production Team

  • Jobs ready to print

  • Jobs currently in production

  • Urgent production work

Dispatch Team

  • Jobs ready to ship

  • Jobs awaiting collection

  • Orders dispatched today

This allows each team to focus only on the work relevant to them. For further View ideas see Create JobBoard Views.

Build Automation Around Your Process

As your JobBoard evolves, Automations can be added to reduce manual administration.

For example:

  • Proof Approved → Move Job to Production

  • Paid in Full → Notify Production Team

  • Production Complete → Set Dispatch Status to Ready

  • Job Dispatched → Notify Customer

The more closely your JobBoard reflects your actual workflow, the more valuable these automations become. See JobBoard Automation Examples for further ideas.

Common JobBoard Columns We See

Many Hoops customers create combinations of the following columns:

  • Artwork

  • Purchasing

  • Production

  • Dispatch

  • Accounts

  • Overall Status

  • Priority

  • In-Hand Date

  • Purchase Order Due Date

  • Equipment

  • Decorator

  • Production Owner

  • Quality Control

  • Delivery Method

  • Collection Status

There is no single "correct" JobBoard layout. The best JobBoard is the one that mirrors how your business operates and gives your team immediate visibility into what needs attention.

As your processes evolve, your JobBoard can evolve with them.
